Saint John's Abbey Business Office invites applications for the full-time, benefit eligible position of Controller.
The Controller is responsible for the accounting, cash management, payroll, audit, tax and compliance reporting functions of the Abbey Business Office of the Order of Saint Benedict.
The Controller is the resource person for accounting procedures, internal controls, and other accounting matters.Financial Management:
1. Oversees the operations of the financial records system (enterprise software), general ledger, chart of accounts, and related financial systems.
2. Implements, maintains, and improves the internal controls, accounting procedures and policies, and business process improvements for the abbey, preparatory school and liturgical press.
3. Assigns and supervises accounting work, cashier function, and accounts payable in the Abbey Business Office and evaluates performance.
4. Assists the treasurer with oversight of the power house and physical plant budgets, expenditures, and monthly reporting.
5. Works closely with the University Business Office in accounting for corporate services and abbey, preparatory school, and liturgical press purchased services from the university.
6. Oversees the appropriate accounting and depreciation of all fixed assets.
7. Oversees the loading of all department budgets and coordinates the distribution of budgets for the abbey, preparatory school, liturgical press, and corporate services.
8. Responsible for the preparation of additional reports and/or other financial information as needed by other departments, management, and outside agencies.
9. Initiates and assists with long range planning, forecasting, and financial projections for the abbey, preparatory school, and liturgical press as needed.
10. Initiates and implements business process improvements for the Abbey Business Office, and assists the abbey, preparatory school, and liturgical press as needed.
11. Collaborates on common issues with the College of Saint Benedict and Saint John?s University.
12. Performs other duties as may be assigned.
Cash Management
1. Reviews monthly bank reconciliations and cash trend reports.
2. Supervises the daily cash management duties of business office staff and serves as the primary backup for the cash management function.
3. Makes decisions and evaluates options for short-term investment of excess cash according to guidelines in the short-term investment policy.
4. Manages a pool of certificates of deposit, including purchases and maturities, to maximize interest earnings.
5. Maintains banking relationships.
6. Serves as the lead for any new debt issuance.
Technology and Systems:
1. Responsible for knowledge and maintenance of software specific to the Abbey Business Office.
2. Works directly with IT to schedule upgrades and troubleshoot bugs. Works directly with software vendors to maintain customizations and upgrade schedules.
4. Responsible for identifying areas of improvement in the current software lineup, including the retirement of old products and implementation of new products.
5. Responsible for creating and maintaining custom reports, including custom SQL views to assist in the creation of reports.
6. Assists and leads various other software implementation projects throughout the Order of Saint Benedict.
Payroll
1. Responsible for the payroll function of the Abbey Business Office.
2. Oversees the Human Resources Information System (HRIS) as it relates to payroll.
3. Responsible for all tax payments and reporting to federal, state and local agencies.
4. Works closely with the human resources director to coordinate the payroll and personnel areas of the HRIS system.
5. Serves as a backup for the payroll function, if needed.
Compliance and Reporting
1. Oversees all government tax reporting relating to payroll, accounts payable, sales tax, entertainment tax, and any others that may arise.
2. Responsible for W-2 reporting.
3. Responsible for 1099 reporting.
4. Responsible for royalty reporting.
5. Responsible for unrelated business income tax reporting and annual business registrations.
Annual Audit
1. Responsible for the coordination of the annual audit.
2. Oversees the closing of the accounting records.
3. Coordinates the collection of information for the auditors with all departments.
4. Responsible for the preparation and review of all audit work papers.
5. Responsible for the preparation of fiscal year financial statements, footnotes, and additional schedules to the audit.
6. Prepares and presents materials to the audit committee. Presents the audit to the senior council.
Investments Long-Term Pool (Interim Responsibility)
1. Accurate accounting for all investment accounts.
2. Calculate draws & rebalancing that follow investment policy.
3. Oversee capital calls and distributions of private equity funds.
4. Responsible for annual audit investment worksheets and statements.
5. Work with investment advisor to produce monthly investment reports.
6. Work with investment advisor to produce materials for the quarterly investment committee meeting.
7. Assist with opening and closing funds or accounts with managers.
8. Maintenance of all investment files.
Collegeville Institute for Ecumenical and Cultural Research (CIECR)
1. Serves as the primary accountant for the CIECR (a separate 501(c)(3) corporation).
2. Coordinates the annual audit.
3. Provides financial reporting quarterly and performs a quarterly close of the financial accounting to produce accurate reports.
4. Is responsible for all journal entries and assists with grant reporting as needed.
5. Attends all finance committee meetings and board meetings, assists with the presentation of finance related materials.
6. Responsible for tax reporting requirements.
Hill Museum and Manuscript Library (HMML)
1. Serves as the primary accountant for the HMML (a separate 501(c)(3) corporation).
2. Coordinates the annual audit.
3. Provides financial reporting quarterly and performs a quarterly close of the financial accounting to produce accurate reports.
4. Is responsible for all journal entries and assists with grant reporting as needed.
5. Attends all finance committee meetings and board meetings, assists with the presentation of finance related materials.
? Bachelor's degree in Accounting ? CPA (Certified Public Accountant) designation required ? Advanced degree (e.g. MBA, MAcc) is a plus ? Minimum of four years of accounting experience; preferably in a nonprofit organization ? Strong analytical, organizational and problem-solving skills ? Proficiency in financial software and Microsoft Office Suite, specifically Excel ? Ability to provide leadership in an academic community showing sensitivity to challenges coming to the attention of the office ? Ability to work effectively and tactfully with the monastic members, students, faculty and staff. ? Ability to maintain flexibility, exercise individual initiative, participate actively in cross training, and collaborate with other members of the Corporation. ? Excellent oral and written communication skills
